Recent Payments report

View successful and failed transactions, export payment data, and confirm posting status for customer payments.

The Recent Payments report allows dealership staff to review, filter, and manage all customer payments processed through Carpay. It provides a centralized view of transaction activity across all payment platforms and methods.


Overview

This dashboard displays both successful and unsuccessful payment attempts, making it easier to:

  • Track posted payments

  • Identify failed transactions

  • Reconcile payments with your DMS

  • Export transaction data for reporting


Tab navigation

At the top of the page, you can switch between two tabs:

  • Approved Payments — Payments that have been successfully approved and posted.

  • Failed Payments — Transactions that were declined or did not complete successfully.

Each tab shows only the payments relevant to that status.


Filters & export options

You can refine and export payment data using the tools at the top of the page:

  • Date Range Filter — View payments within a specific time period.

  • Search Bar — Search by customer name, VIN, account number, reference number, or other values.

  • Export Options

    • CSV – Download the data as a spreadsheet.

    • PDF – Generate a printable report.

    • Columns – Customize which columns are visible in the table.


Table column breakdown

Each row represents a single transaction. Columns may include:

Column

Description

Name

Customer's name (clickable to open the account).

Account #

Internal customer account number.

Stock #

Vehicle stock number.

Reference #

Unique transaction identifier.

VIN

Vehicle Identification Number.

Date/Time

When the payment was processed or attempted.

Platform

Payment origin (website, mobile app, dealer terminal, refund, Autopay, etc.).

Collector

Staff member who processed the payment, if applicable.

Company

Dealership or RFC receiving the payment.

Approved in DMS

✓ = Successfully posted in the DMS. Refunded or N/A if not applicable.

Payment Method

Debit card, credit card, cash, etc.

Total Amount w/ Conv. Fee

Full amount charged, including any convenience fee.

Amount Sent to DMS

Net amount posted to DMS after fee handling.

Fees

Indicates whether any fee was applied, such as a convenience fee.

Memo

Internal notes related to the payment.

Action

Click View Receipt to see the detailed receipt or transaction details.


Customizing your view

You can tailor the table to your workflow:

  1. Click the Columns button.

  2. Check or uncheck fields to show or hide specific data.

  3. Your column preferences will update instantly.

This is useful when exporting reports or focusing on specific payment details.


When to use this page

The Recent Payments page is commonly used for:

  • Daily payment reconciliation

  • Investigating failed transactions

  • Verifying whether payments are posted to the DMS

  • Exporting transaction data for accounting

  • Reviewing payment details and receipts
